Acara Solutions is seeking a direct hire legal Assistant/Secretary in Williamsville, NY!
Type: Direct Hire
Salary: Up to 55,000, DOE
Schedule: Full-time, 100% onsite
Roles and Responsibilities
- Provide comprehensive administrative and legal support, including drafting legal correspondence, pleadings, summons/complaints, discovery, subpoenas, and preparing reports, presentations, and business materials.
- Manage records and files by ordering and organizing medical records, maintaining physical and electronic filing systems, and recommending process improvements.
- Coordinate calendars and scheduling, ensuring strict adherence to deadlines for depositions, court appearances, client conferences, and attorney meetings.
- Assist attorneys directly through meeting preparation, note-taking, and supporting the firm’s Continuing Legal education program.
- Handle client interactions by fielding calls, documenting concerns, problem-solving, and maintaining professional communication with prospects and clients.
- Provide general office support, including screening correspondence, managing emails, and working collaboratively as a reliable and engaged team member.
- Bachelor’s degree or equivalent experience
- Experience in managing multiple priorities, efficiently manages time and capacity
- Proficient with Mac computers
- Proficient in Microsoft Office, Adobe; willing to learn Canva
- Litigation, including personal injury experience preferred
- E-filing experience via NYSCEF preferred
