Job Title: legal Assistant / Legal Administrative Assistant
Duration: 6+ months
Pay rate: $24.00/Hr. on W2.
Interview Mode: Onsite (In person)
Location: Henderson, NV 89014
Shift Schedule: Days: Hours: 8 AM to 6 PM, lunch 1 hour unpaid. Monday to Thursday – or – Tuesday to Friday depending on Board needs. 
Job Summary:

  • The Legal Assistant provides legal and administrative support to the Nevada State Board of Dental Examiners (Board), assisting the General Counsel and Paralegal in carrying out legal operations, including case preparation, document management, litigation and administrative hearing support, and correspondence handling. This role ensures efficient and accurate processing of legal and administrative documents related to complaints, investigations, litigation, and Board meetings.
  • The Legal Assistant plays a key role in maintaining organized case files, tracking deadlines, and preparing materials for legal proceedings in accordance with Nevada Revised Statutes (NRS) Chapter 631, Nevada Administrative Code (NAC) Chapter 631, and Nevada Open Meeting Laws. The Legal Assistant is also responsible for e-filing of litigation documents in either or both Odyssey and PACER and should be familiar with e-filing in both platforms.
  • This position reports to the General Counsel for legal matters and litigation; they report primarily to the Paralegal (currently serving as the Records Control Officer) for document management.

Role & Responsibilities:
Legal Support & Case Preparation:

  • Assist in the preparation of legal documents, including pleadings, notices, correspondence, and hearing packets.
  • Organize, file, and maintain legal case files, ensuring accuracy, completeness, and confidentiality.
  • Help prepare case materials for disciplinary hearings, settlement conferences, administrative proceedings, and trials.
  • Coordinate deadlines and track case timelines for legal counsel, inclusive of documenting and coordinating appointments, committee/meeting appearances, and court appearances for General Counsel using their Outlook calendar.
  • Compile exhibits, evidence, and supporting documentation as directed.
  • E-file pleadings as needed; redact and Bates Stamp evidence as needed.

Administrative Support:

  • Schedule meetings, hearings, and legal appointments for the legal team.
  • Draft and proofread correspondence, memos, and reports.
  • Assist in organizing and archiving legal documents in compliance with Board retention policies.
  • Maintain and update logs for complaint tracking, legal case status, and pending actions.
  • Have schedule availability/flexibility to be present in the office when other legal team members have designated days off.

Board Meeting & Public Records Support:

  • Assist in preparing and organizing materials for Board meetings.
  • Ensure that legal files and documents needed for Board review are properly formatted and accessible.
  • Provide support in responding to public records requests in accordance with Nevada law.

Required Qualifications:

  • High school diploma or equivalent required; associate’s degree or certificate in Legal Studies or related field preferred. Current college students majoring in legal-related field considered so long as no scheduling conflicts exist between school obligations and full-time work obligations.
  • Minimum 2 years of experience as a legal assistant or comparable administrative support role in a legal, regulatory, or government environment. Minimum of 6 mos. of litigation support or, if qualifying via education or comparable work experience, at least demonstrated proficiency with e-filing in both Odyssey and PACER.

Required Skills:

  • Strong understanding of legal terminology, document formatting, and case file management.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and document management systems.
  • Proficiency in Odyssey and PACER e-filing platforms.
  • High level of attention to detail and accuracy in documentation.
  • Strong organizational and time-management skills.
  • Ability to work under deadlines, maintain confidentiality, and follow detailed instructions.
  • Effective communication and interpersonal skills for working with legal staff, the public, and external agencies.
