Job Summary
The Corporate Paralegal & legal Systems Administrator supports a busy in-house legal department by providing high quality paralegal services and, with the support of the department’s Senior Legal Assistant, managing the department’s legal technology platforms. This role ensures the smooth operation of contract workflows and legal processes while serving as the primary administrator for all legal systems. The ideal candidate combines strong technical aptitude with excellent organizational skills and a solid foundation in corporate paralegal work. This position will be a salaried position with an average of 40 hours a week.
Essential Duties Responsibilities:
Corporate Paralegal
- Under attorney guidance, perform basic contract activities such as reviewing and implementing nondisclosure agreements, drafting simple contract amendments, renewals, and extensions, and drafting abstracts of key terms of important contracts.
- Assist with contract lifecycle activities, including drafting templates, coordinating approvals, and managing execution.
- Manage the company’s record retention program, including overseeing annual records disposal process; monitor legal hold orders; provide training for new employees on the Company’s records retention program and legal hold orders.
- Provide Trademark Support including communicating with business teams and outside counsel about trademark applications and renewals, and update and maintain trademark status reports.
- Manage supplier legal documentation processes, including collaborating with Procurement, and collecting, reviewing, and maintaining supplier legal documentation.
- Support the Company’s consumer privacy program.
- Coordinate with other internal stakeholders and outside counsel as needed.
- Serve as lead on gathering records and information for third party claims, discovery requests related to litigation, or due diligence materials needed for business transactions.
- Provide support to Senior Legal Assistant as needed.
- Complete other assignments as may be given from time to time by the attorneys
Legal Systems Administration
- Serve as the subject matter expert and primary administrator for the legal department’s technology platforms, including Agiloft (CLM), DocuSign (e signature workflows), Exterro (legal holds/e discovery), and other tools as adopted.
- Configure and maintain system workflows, templates, user permissions, and integrations.
- Partner with IT to troubleshoot system issues and coordinate with internal partners to resolve technical problems.
- Develop and maintain system documentation, training materials, and user guides.
- Train legal team members and business users on system functionality and best practices.
education and experience:
- 7+ years of experience in a sophisticated law firm and/or in-house legal department, required. Bachelor’s degree or paralegal certificate, preferred.
- Must have experience with contracts and contract management.
- Experience with Agiloft, DocuSign, Exterro, or similar systems, strongly desired.
- Experience with real estate documentation and transactions.
Skills and Competencies:
- Demonstrated proficiency with Office 365 and supporting or administering legal technology platforms.
- Excellent organizational skills with strong attention to detail.
- Must be able to multi-task, be flexible, and able to prioritize and complete projects effectively and efficiently while supporting multiple lawyers.
- Strong communication skills and ability to collaborate effectively with crossfunctional teams.
- Ability to maintain a high level of confidentiality
